What's New in CaterZen: A Smarter CRM for Serious Catering Operators

Here's something I'll admit to you.

Most software companies spend years building features nobody asked for. They ship a shiny dashboard nobody uses, rename a button that wasn't broken, and call it an update.

That's not what we did here.

Everything we added to our catering CRM over the past few months solves a real problem. One I've heard from operators dozens of times. If you run a catering operation with any kind of team behind you - even a small one - at least a few of these are going to make your life easier starting today.

Let me walk you through it.

Two Sales Reps Per Accounts

If you've got an inside sales rep and a marketing rep both working the same account, you already know the frustration. CaterZen only tracked one of them. That meant manual workarounds, misattributed commissions, and reports that only told half the story.

We fixed that.

You can now assign a Sales Rep 2 to any company record. Both reps show up in your CRM reports — the Sales Commission Report, Order Totals Report, Companies by Sales Rep, and the Customer Reactivation Report.

No more guessing. No more workarounds. Everyone gets credit for their work.

Create a Follow-Up Task While You're Writing the Email

Here's one of the biggest follow-up killers in any catering operation:

You write an email, you hit send, and then the follow-up lives entirely in your head.

That's a disaster waiting to happen. Memory is not a system.

Now, right inside the Gmail tab of a contact record, there's a section where you can create a task before you send that email. Pick the task type - call, email, whatever - set the due date, and when the email goes out, the task is automatically created. It's pre-filled with the subject line and the date you sent the message.

So when that reminder pops up, you have full context. No digging around trying to remember what you said or when.

I've preached for years that the fortune is in the follow-up. Now there's one less excuse to drop the ball.

Find Orders, Quotes, and Invoices Faster

If a client has been ordering from you for a few years, their record can get long. Scrolling through page after page to find one ticket from eight months ago is nobody's idea of a good time.

We added an ID column and a live search box to the Orders, Quotes, and Invoices tabs on every contact record. Start typing an order or quote number and the list filters in real time.

Same experience across all three tabs. Consistent. Fast. Simple.

Rebooking and Quote Reminders Got a Lot More Useful

Rebooking reminders are one of the most underused tools in CaterZen. And the operators who do use them - consistently - will tell you they've recovered thousands of dollars in repeat business they'd otherwise have lost.

We made those reminders significantly better.

Inside the task itself, the contact name is now a clickable link to their record. The ticket or quote number opens it directly. And the reminder now shows the event's serve date, so you have all the relevant context right in front of you without opening anything else.

Pop-up reminders are also cleaner, and they include links to the contact and the ticket.

Reminder emails now include clickable links to both, so you can act immediately from your inbox — no logging in just to find the record.

One more thing: we cleaned up the terminology throughout the system. "Activities" are now called "tasks" consistently.

A Cleaner, More Useful Task List

A few things here that seem small but add up:

  • Buttons are where they belong. Clear Filters and Apply Filter sit next to the filters. Columns and Export sit next to the results. You shouldn't have to hunt for them.
  • "Group" is now "Team." Consistent language throughout the system matters more than people realize.
  • Task notes are now visible in the list. Previously, you had to open every single task to see the note. Now there's a dedicated Task Note column. Long notes get a "read more" link. And when you export to Excel, the notes come with it.
  • More columns can be sorted. Organize your task list the way that actually makes sense for how you work.

What's Coming Next

We're also in the early stages of rolling out the CRM Sales Pro - a significant upgrade that includes built-in VoIP, Marketing Lists, and down the road, Sequences, Email Templates, and Lead Gen Campaigns (forms, landing pages and QR codes).

We've started limited testing with a small group of clients. Full rollout to all CaterZen customers is coming soon.
